How to Create Appointment Slots using Google Calendar

Creating Appointment Slots:

  1. Sign-in to your G-mail account
  2. Open Google Calendar
  3. Select the day and Time you want to schedule appointments
  4. Put in the title of the event - (Example - Advising Sign-ups)
  5. Click on “Appointment Slots”
  6. Adjust times
    1. The total block of time that a meeting can be scheduled.
    2. The duration of each meeting
  7. Click on “More Options”
  8. Add location
  9. Add a description.
    1. You can provide links to other documents such as a Google form
    2. You cannot directly attach a document
  10. Copy the link to the calendar’s appointment page.
  11. Click “Save”
  12. Paste the link into an e-mail
  13. E-mail the link to everyone that needs to schedule an appointment.
    1. If you have a Contact list of your advisees you can send the link out with only a couple of clicks

To Schedule an Appointment:

  1. Click on the link that has been provided to you in the e-mail
  2. Select a time slot on the schedule calendar and click on it.  This keeps anyone else from reserving that time slot
  3. Put your name in the top box
  4. Follow any instructions that appear in the reservations.
  5. Click on “Save”.
  6. Check to make sure that the appointment appears in your Google Calendar
  7. A reminder will be sent to you 10 minutes before the meeting if your calendar is set up that way.

Notes for Smartphone Users:

  • You can use your smartphone to select an appointment time.
    • Open the email message on your phone.
    • Copy and paste the link into your browser
    • Select your appointment time and continue to follow the directions above.
  • If you are the organizer of the scheduling calendar, only appointments that have been reserved will appear on the Google calendar in your phone.  The large blocks of time will only appear on your full computer.  This helps keep the clutter down.
  • Students will be able to cancel appointments that they cannot make.
  • You will be able to cancel appointments and send a follow-up email.
